Financial Records Keeping and Reporting
We utilize the latest in computerized accounting hardware and software to include Accounts Receivable, Accounts Payable, General Ledger, Operating Statements, Reserve Statements, billing statements, delinquency listing and past due statements to owners.
Secretarial and Office Assistance
Budget and Annual Meeting materials, affidavits required by law to assure proper mailings have been developed. Voting Certificates to secure the designated voter for each unit as required by the Association's Documents. Regular contact with title companies and estopple letters to assure that payments due the association are collected prior to the sale of each unit. Standard letters for the collection of delinquent maintenance payments are used successfully. Clerical assistance is available and all correspondence is confidential.
Board and Member Meeting Attendance and Assistance
Your Community Association Manager will attend Board of Directors Meetings and Annual Meetings.
Management Reports
A comprehensive management report can be made available for distribution to the Board of Directors prior to the Board Meeting. This report would contain a detailed Agenda, meeting the requirements of the new Florida Statutes. Also included would be the minutes of the last meeting (if not provided earlier to the Board of Directors), financial statements (if not provided earlier to the Board of Directors), manager’s report on work done and solutions to pending problems, insurance information and correspondence. This report would provide Board members with the necessary information ahead of time to enable them to make informed decisions, thus reducing potential liability, improving the quality of the decisions and increasing individual personal satisfactions. The use of these reports has resulted in more productive Board Meetings.
Rule Infracture and Emergency Assistance
Infraction of Rules can be referred to the Community Association Manger. Any unresolved infraction will be referred to the Board of Directors to determine further action. Phone calls from the members regarding emergencies may be relayed to the office at 941.412.1666 twenty-four hours per day, seven days per week. Phone calls from members that are non-emergency are requested to be made during regular office hours at 941.412.1666 from 8:00 a.m. to 4:30 p.m.
We do not utilize voice mail. Our office phone is answered by a live person at all times, 24 hours per day, seven days per week.
Community Living Guidance
Your Community Association Manger is available to any member of the Association to discuss matters pertaining to community living. We are able to deal with each situation in a non-judgmental and unbiased manner because we are not members of the Association.
Physical Management
The Community Association Manager will see to it that the property is maintained consistent with the standards established by the Board and the Budget. Maintenance schedules will be reviewed or developed and then implemented.
Management Fees
Our management fees to perform management services include all fees except for association direct costs. Association direct costs will consist of postage, printing, etc., as the cost incurred without any additional over-rides placed on by management. Copying at the management office is billed at $.05 per copy. Copying done at an independent printer is billed directly to the association from the printing company without administrative fees being charged to the association. Professional Association Management Services do not charge the association for our cell phone use, etc.
Our goal is to save the association money, improve property values and create a greater harmony within the community and within the Board of Directors.
